Case Study: Simplifying Business Workflow with Subscription Dashboard
Spotlight
Our client is a growing SaaS company offering multiple pricing tiers, including free trials, monthly plans, and enterprise-level subscriptions. With a rapidly expanding customer base and a broad range of features, the company had developed a subscription dashboard to help users manage their plans, billing, and upgrades. However, the team realized that they needed a centralized subscription dashboard to give users a clear, unified view of their plans.

Challenges Faced Before Implementing Revenue 365
The SaaS company managed subscription-related processes through multiple disconnected interfaces. A comprehensive subscription dashboard was no longer a nice-to-have it was essential.
1. Users Couldn’t Clearly View Their Active Plan
Customers often reached out to the support team with basic questions such as which plan they were on, how much usage they had left, or when their next billing cycle would begin. While this information was technically available, it was spread across multiple screens making it hard for users to track immediately. The brand realized that a centralized view showing current subscription status was essential.
2. Plan Upgrade or Downgrade Options Weren’t Easily Accessible
The option to change plans existed, but it was not presented in a way that client could easily find or act on. There was no central space where users could compare plans or make quick changes. As a result, many users continued outdated plans even when a better fit was available. This affected both user satisfaction and revenue growth through plan upgrades.
3. Billing Details Were Scattered
All billing-related data invoices, payments, upcoming charges were accessible, but not in a unified, user-friendly format. Users had to dig through emails, account settings, or external documents to find the information they needed. Without a clear, structured billing section, users often misunderstood charges or missed payment alerts, which led to a higher number of support tickets.
4. Mobile Users Faced Navigation Issues
On mobile devices, accessing subscription-related information became even more difficult. Different sections of the platform were not optimized for smaller screens, and users had to zoom, scroll, or switch tabs to perform basic actions. This disrupted the experience for mobile-first users and created friction at critical moments like renewals or plan changes.
5. Subscription Changes Weren’t Reflected in Real Time
When users made changes like cancelling a subscription, upgrading to a higher tier, or applying a discount, the system took time to update. Because there was no central dashboard to reflect these changes immediately, users were often left uncertain about whether their actions were successful. This lag in visibility led to confusion and repeat inquiries.
How We Solved It – The Solution
We approached the engagement with a focus on making the subscription dashboard more useful, clearer, and action oriented.
1. Centralized Reporting
We transformed the scattered plan information into a consolidated reporting section within the dashboard. This included a visual summary showing the current plan, usage progress. By integrating these metrics into a top-level view, users could now see everything relevant to their subscription status.
2. Improved Payment Tracking with Clear Breakdown
We reorganized the payment tracking section to show transaction status (paid, failed, pending), mode of payment, and associated dates all in a clean, scrollable layout. Filters by month or billing cycle were added to help users locate specific entries. Subscription dashboard made it easier for customers to follow their payment activity over time and feel more confident in their financial records.
3. Structured Invoice History
Rather than listing invoice records as raw data, we designed a categorized invoice history area. Invoices were grouped by type and marked with clear labels (e.g., Subscription, Add-ons, Discounts). These updates from subscription dashboard gave users clarity over what they were being charged for and when reducing confusion and billing disputes.
4. Highlighted Upgrade Options
The upgrade and downgrade functionality was already available, but we reintroduced it with stronger visual emphasis and relevance. Contextual callouts were triggered when users approached limits on their current plan (like storage or user caps). These prompts not only educated users about their options but also created a more natural path toward upgrading, based on their actual usage rather than blanket promotion.
5. Unified Workflow with Real-Time Updates
Previously, subscription changes like plan switches or cancellations did not appear in real time. We supported the implementation of lightweight, real-time triggers that updated subscription status the moment a user acted. Whether a user applied a promo code, upgraded a plan, or paused their subscription, the change was now immediately reflected in the subscription dashboard.
Results & Business Impact
After implementing the subscription dashboard from Revenue 365, the SaaS brand saw immediate improvements across key areas of engagement, support, and revenue.
1) 47% Increase in Plan Upgrades and Add-On Purchases
Previously, many users did not notice plan change options or felt unsure about upgrading. With upgrade prompts and clearer usage visibility, more users confidently moved to higher tiers or added features they needed.
2) 52% Reduction in Subscription-Related Support Queries
Support teams often answered repetitive questions about billing, plan status, or invoice history. With all subscription data now accessible in one place, users resolved most questions on their own reducing incoming tickets significantly.
3) 41% Growth in Dashboard Engagement
Before the dashboard improvements, users often dropped off after viewing only basic details. With better layout, clearer information flow, and real-time updates, more users explored the full dashboard from reviewing billing to managing subscriptions leading to deeper engagement across the platform.
The improvements made users feel more confident navigating their subscriptions and gave the client a clearer path to upselling without pushy tactics.
